Step 4: Configure Staff Roles

Goal

Set up staff role templates so each teacher/staff member gets the right access level before staff upload.

Why this step matters

  • Staff roles control access to academics, student/family data, onboarding, finance, and settings.
  • This setup directly affects what staff can do after login.
  • If this is not configured early, staff upload and daily operations become harder to manage.

What to do in onboarding

  1. Review existing starter templates (including Default Role).
  2. Create any custom templates your school needs.
  3. Set the correct default template for newly added staff.
  4. Assign or move staff members to the correct template.

Key rules admins should know

  • New staff/teachers are assigned to the current default role template automatically.
  • Only users with Manage Staff Role Templates can create/update/delete/assign templates.
  • Role template names must be unique within the organization.
  • A role template must include at least one permission.
  • You cannot delete the default template.
  • You cannot delete a template while staff members are assigned to it.
  • Role updates can take up to 10 minutes to fully apply.

Permission examples (quick view)

  • Edit Own Attendance: update attendance in own scope.
  • Edit Own Markbooks: manage markbook entries in own scope.
  • View All Students: read student records across the organization.
  • Manage Staff Roles: create and update role templates, set the default role, and move staff members between roles.
